This notice explains how Grounded Purposeful Projects handles personal information when you visit this website or get in touch about a project.

Who is responsible?

I’m Mark Payne, founder of Grounded Purposeful Projects, a UK-based project management consultancy. Grounded Purposeful Projects is responsible for deciding how the personal information covered by this notice is used (the “data controller”).

What information is collected?

When you submit an enquiry, you provide:

I also receive any information you provide during our follow-up correspondence. You choose whether to get in touch; the form needs your name, email address and message so I can understand and respond to your enquiry.

Please keep your message to relevant project information and avoid including sensitive personal details about yourself or anyone else.

The website is hosted by Netlify. To deliver and protect the site and filter spam, its services may process technical information such as your IP address, browser details and the time of a request or submission.

How and why information is used

I use enquiry information to respond, understand the support you need and discuss possible work. The lawful basis is legitimate interests: handling requests made to the consultancy and communicating with people about the support they have asked for. Relevant technical information is used for the legitimate interest of operating a secure, reliable website and preventing spam.

If you ask me to take steps towards a contract with you personally, the lawful basis for those steps is contract. If you are contacting me on behalf of an organisation, legitimate interests applies to handling your business contact details.

Information needed to meet a data protection obligation, such as responding to a request about your rights, is used on the basis of legal obligation.

Sending an enquiry does not subscribe you to a mailing list. The enquiry process does not use automated decisions that have legal or similarly significant effects on you.

Where information is handled

Netlify hosts this website and receives and stores form submissions on behalf of Grounded Purposeful Projects. Its service providers help provide hosting, storage and spam protection.

Netlify and its service providers may process information outside the UK, including in the United States. Netlify’s Data Processing Agreement (PDF) describes the transfer arrangements, including the UK Extension to the EU–US Data Privacy Framework and contractual safeguards where applicable. You can read those safeguards in the agreement or contact me with a question.

I use Gmail, provided by Google, to send and receive correspondence. Google processes email contents and related information under its Privacy Policy and may process information outside the UK. Its data transfer information explains the safeguards it uses, including adequacy arrangements, the UK Extension to the EU–US Data Privacy Framework and standard contractual clauses where required, and how to request a copy of those clauses.

How long information is kept

If an enquiry does not lead to work, I keep it and the related correspondence for up to 12 months after our last contact, to handle follow-up questions, then delete it. Information may be deleted sooner when it is no longer needed.

Where a specific legal obligation or an outstanding dispute requires a record to be retained, I keep only the relevant information for as long as that reason applies.

If we work together, relevant correspondence may become part of the project records. I will explain any additional use and retention of personal information as part of arranging the work.

Your rights

Depending on the circumstances, you can ask for access to your personal information, correction of inaccurate information, deletion, or restriction of how it is used. Where the legal conditions apply, you can also request a portable copy of information you provided.

Your right to object: you can object to processing based on legitimate interests for reasons relating to your particular situation. Contact me using the details above to raise an objection or another request.

If you have a concern, please get in touch so I can address it. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK’s data protection regulator.

Cookies and website tools

The website has no advertising pixels or third-party analytics tools added by Grounded Purposeful Projects. Netlify supplies the hosting, form processing and a “Powered by Netlify” badge; its services may process technical request information as described above.

If the website’s tools or uses of information change, this notice will be updated to explain them.
